Add an event

To add a new event associated with a specific activity Core component of both schedules and time records in Workforce Management (WFM). When an employee performs any kind of work, activities specify the scheduled work and capture employee adherence to their schedule., you submit a request. You can specify the date, start time, duration, paid status, and a comment with your request.

Types of events that can be added

Employees can request to add the following events:

  • Working shift events before shifts, after shifts, or during shifts

  • Non-working shift events during shifts (breaks)

  • Calendar events that can occur anytime, but recommended being placed during shifts

No shift event can be created on top of a shift event.

The events you can add vary, according to what is allowed in your organization.

Procedure 

  1. Go to My Home. From My Requests, select Event Requests.

  2. Select Add event.

  3. From Date, select the date for which you want to add the event.

    The system displays the schedule for the selected date in list view on the right side.

    Note the following:

    • To view the schedule for up to seven days before the selected date, scroll upward.

    • To view the schedule for to up seven days after the selected date, scroll downwards.

    • To view the schedule again for the selected date, select Return to the selected date at the top of the list view.

    • To view events for different dates, select a different date in the Date field.

    • For events that span multiple days, the start time is displayed on the date when the event starts, and the end time is displayed on the date when it ends.

  4. From Activity, select the activity you want to add for the event.

    The activities that are displayed in the drop-down list are only the ones that your organization allows to request for the selected date. If you select a different date, the system displays a different list of activities.

  5. From Start, select the start time of the event.

    Optional: You can manually enter the start time of the event.

    You can select start time from a dropdown containing allowed values.

  6. From Duration, select the length of the event.

    Optional: You can manually enter values or choose up and down arrows to change the configured duration, but invalid entries are flagged.

    The up and down arrows helps to change the duration by multiples of the allowed values.

  7. If you selected an activity that is defined by an administration rule to be scheduled as a calendar event Scheduled event in WFM that is manually created on the schedule, can be a single instance or recurring event, and can have one or multiple attendees. Examples of calendar events are meetings or training sessions. (which can be used to schedule meetings, trainings, and so on), enter the attendees you want to include in the event in the Attendees field. This field can include your name only, your name in addition to other attendees, or other attendees without including yourself. To enter the names for this field, start typing and select the names you want. You can select any number of attendees.

    When adding multiple attendees, you can only add the employees as allowed by the admin.

  8. Optional. If you are submitting a request for a non-working shift event and you want the event to be paid, select Paid.

  9. Optional. In the Description field, enter any notes about the request.

  10. Select Submit.

    If your request is submitted successfully, the system displays a success notification message. If your request does not comply with the activated filter or depending on your sort configurations, you might not see the notification.

    If your request is not submitted successfully, the system displays a message with the details about the errors.

    If you submit your request and the requested activity has validations associated with it, the status is Pending processing alerts. After the validations have finished processing, the status changes to Pending.

    During any of these stages, you can withdraw or edit the request.

    Once your system administrator approves, denies, or the request is under review, you cannot edit or withdraw it.
